This notice applies to visitors to assetman.co.za, people who contact Asset-Man, prospective customers, customer contacts, suppliers and other people whose personal information we process in connection with the Asset-Man website, sales process, support and related asset and stock-control services.

In POPIA terms, Asset-Man's contracting entity is normally the responsible party for personal information it decides to collect and use for its own marketing, sales, account management and website purposes. Where Asset-Man processes personal information in a customer's platform account on that customer's instructions, the customer is normally the responsible party and Asset-Man acts as an operator, subject to the applicable customer agreement.

Please do not send special personal information, identity numbers, bank-card details, health information or other sensitive data through the website contact form unless we specifically ask for it and provide a secure method.
3. Why we use personal information
We process personal information only where it is necessary and lawful. Depending on the context, this includes to:
- respond to an enquiry, book a demo, prepare a quotation or take steps at your request before entering into a contract;
- provide, administer, support and improve the agreed Asset-Man service;
- verify authorised contacts, prevent fraud and protect our website, systems and users;
- keep required business, financial and legal records;
- communicate material service, security, product or contractual information; and
- send electronic marketing only where POPIA allows it and, where required, you have opted in. You may opt out at any time.
Our legal grounds may include your consent, the performance of or steps toward a contract, compliance with legal obligations, and our legitimate interests in operating a secure B2B service and responding to genuine business enquiries. Where consent is the basis, you may withdraw it at any time; withdrawal does not affect processing already carried out lawfully.
5. Retention and security
We retain information for no longer than reasonably necessary for the purpose for which it was collected, including to respond to an enquiry, manage the relationship, meet legal and accounting obligations, resolve disputes and enforce agreements. As a guide, unsuccessful website enquiries are ordinarily retained for up to 24 months after the last meaningful contact, unless a longer period is required or justified.
We use reasonable technical and organisational safeguards appropriate to the risk, including access controls, least-privilege practices, secure configuration, backup and incident-response procedures. No online transmission or storage system can be guaranteed completely secure. If a security compromise creates a real risk to personal information, we will investigate, contain it and notify affected people and the Information Regulator where POPIA requires.
6. Your rights and choices
Subject to POPIA and applicable law, you may ask us to confirm whether we hold your personal information, request access or correction, object to certain processing, request deletion where appropriate, withdraw consent, or opt out of direct marketing.
To exercise a right, email assetman@networkssa.co.za with enough detail to identify you and the request. We may ask for reasonable proof of identity before acting.
